Planet Intelligence ("we", "us", "our") is committed to protecting your personal data. This policy explains how we collect, use, store, and share information when you use our website and services at planetintelligence.co.uk (the "Service").

1. Information We Collect
1.1 Account Information
When you register we collect your email address and a hashed password. You may optionally provide a display name.
1.2 Usage Data
We automatically record:
- IP address, browser type, and operating system
- Pages visited, features used, and timestamps
- Companies you search for, track, and analyse
1.3 Companies House Data
We retrieve publicly available company filings and accounts from Companies House on your behalf. This data relates to corporate entities, not to you personally, and is processed to deliver analysis and reporting features.

3. How We Use Your Information
- To create and manage your account
- To retrieve, analyse, and present company data you request
- To generate AI-powered interpretations of financial filings (where enabled)

- To enforce our Terms & Conditions and prevent misuse
- To improve, maintain, and secure the Service
4. Data Retention
We retain your account data for as long as your account is active. Analysis data and downloaded documents are retained according to your service tier's retention policy and are automatically purged after the applicable retention period expires. You can delete your tracked companies and associated data at any time from the Companies page.
Security and anti-abuse data. To investigate account misuse, fraud, and attacks on the Service, we keep a limited audit trail containing your IP address, user-agent string, and the requests you make. This audit trail, and the corresponding server log files that record the same information, are retained for up to90 days and then automatically deleted. This is our only use of your IP address — we do not use it for advertising, profiling, or analytics.
If you close your account, we will delete your personal data within 30 days, except where we are required by law to retain it (e.g. for tax or regulatory purposes) or where it sits inside the 90-day security audit window described above, in which case it is deleted when that window expires.
5. Data Sharing and Transfers
We do not sell your personal data. We may share data with:
- Companies House — API requests to retrieve public filing data on your behalf.
- AI providers — anonymised or pseudonymised financial data may be sent to third-party AI services to generate interpretations. No personal data (name, email) is included in these requests.
- Infrastructure providers — hosting, email delivery, and database services operated within the UK/EEA. Where data is transferred outside the EEA, we ensure adequate safeguards (e.g. Standard Contractual Clauses).
- Law enforcement — only where required by law or valid legal process.
6. Your Rights (GDPR)
Under the UK GDPR and the Data Protection Act 2018, you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — ask us to delete your data ("right to be forgotten").
- Restriction — ask us to limit how we process your data.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interest.

7. Cookies
We use strictly necessary cookies to maintain your authenticated session. We do not use tracking, advertising, or analytics cookies. Because these cookies are essential for the Service to function, consent is not required under the UK PECR.
8. Security
We implement appropriate technical and organisational measures to protect your data, including encrypted connections (TLS), hashed passwords, role-based access controls, and regular security reviews. No system is 100% secure; if you discover a vulnerability, please report it to security@planetintelligence.co.uk.
9. Children
The Service is not intended for individuals under 18. We do not knowingly collect personal data from children. If we learn that we have collected data from a child, we will delete it promptly.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or a prominent notice on the Service. The "Last updated" date at the top reflects the most recent revision.
